Setting Up Your AI Coach

To ensure that your team receives the most relevant and helpful feedback, you can set up automation rules for your AI Coach. This ensures the correct scorecard is used for each meeting, tailoring the feedback to specific needs and scenarios.

How to Set Up Automation Rules:

  1. Navigate to the AI Coach settings in your dashboard.

  2. Click "Add automation" and choose the conditions under which different scorecards should be applied.

  3. Click "Activate"

  4. Click "Save and close" to apply the rules to future meetings and to activate the AI coach.

One-off feedback for a meeting

Fill out the scorecard by AI

On a recording, you can decide to get feedback from the AI coach. Just select the scorecard and it will answer the questions from the scorecard based on the performance of the meeting host. It will fill out the scorecard in English.

You can choose your preferred scorecard for the AI Coach to complete. The AI will respond to each question, typically in the language the question was asked. If the AI defaults to English for some responses, removing the feedback and initiating the AI Coach once more is suggested.

After submission, the process may take as long as two minutes, with the actual time varying based on the length of the recording. Since AI technology is still in its developmental stages, occasional failures may occur. In such cases, attempting the process again is recommended.

The AI Coach will offer precise and actionable insights aligned with the criteria outlined in the scorecard.

Pre-filling a scorecard with AI

Enhance your evaluation process with this by selecting the "Pre-fill feedback with AI" feature for any recorded meeting. This tool conducts an in-depth analysis and fills out the scorecard. This might take up to 2 minutes. Feel free to take a break or attend to other tasks during this time. Once completed, review the AI-generated feedback to ensure it meets your standards. You can adjust it manually and then submit it if you need to.

When you visit the "AI Coach" section after your recorded session, you'll find a comprehensive breakdown of your conversation's dynamics. These metrics are designed to offer you a clear understanding of your interaction's effectiveness.

Here are the detailed insights broken down by each speaker's contribution.

  1. Feedback score: Shows the average score of all feedbacks.

  2. Engagement score: Reflects the engagement throughout the meeting. Higher scores indicate effective engagement, an essential component for successful discussions. The score is based on the frequency of conversation changes within each 5-minute call segment. Each switch in conversation counts as 1 point. For instance:

    In the first 5 minutes: 4 switches.
    From 5 to 10 minutes: 2 switches.
    Thus, the engagement score is the call's average number of switches, which, in this example, is (4+2)/2 = 3. Note that the maximum score possible is capped at 10.
  3. Talk ratio: Expressed in a percentage, this metric shows how much the participant talked during meetings. Ideal talk ratios can vary, but a balanced approach (neither too high nor too low) is considered effective for engaging clients and understanding their needs.

  4. Talking pace: Indicates how fast the representative speaks during meetings. Speaking too quickly can overwhelm clients, while too slowly may signal disinterest or lack of confidence. Ideally, you aim to match the speed of how fast your participants talk to build rapport.
