How to Log Different Activity Types for Meetings in Your CRM

In Demodesk, you can categorize your meetings by setting different activity types based on the meeting type. This guide will show you how to log meetings as specific activity types in your CRM (Pipedrive, HubSpot, or Salesforce) by setting up custom tokens and syncing them with your meeting types.

Steps to Set Up Custom Activity Types in Demodesk

  1. From the main dashboard, click on the Integration settings.

  2. Navigate to Tokens. Click on Custom Tokens

  3. Create Custom Tokens for Activity Types:


    To categorize your meetings, you need to create a custom token with the different values for each activity type. For example:

    • Demodesk Meeting

    • Follow-up Meeting

    • Progress Update Meeting

      These custom tokens will help you log meetings under different categories in your CRM.

  4. Assign Tokens to Meeting Types:


    Next, assign this custom token to your meeting type as a hidden booking question. This step ensures that when a meeting is booked using a specific meeting type, the correct activity type is selected automatically.

  5. Set Default Activity Type for Each Meeting Type:


    Set a default activity type for each meeting type. For instance, if you want all meetings booked under the a specific meeting type to be logged as Demodesk meetings, select Demodesk Meeting as the default activity type in the booking question. This ensures that when a customer books a meeting, the activity type will be synced automatically with your CRM.

Once set up, whenever a customer books a meeting using your Demodesk booking link, the default activity type defined in the booking question linked to the custom token will automatically sync as the meeting's activity type. 

Default Setting for Pipedrive

If you’re using Pipedrive, you can configure the default activity type directly in the integration settings. In Pipedrive Integration Settings, you can choose the default activity type, such as Remote Meeting, and have it applied automatically whenever a meeting is booked via the Demodesk booking link.

Important Notes:

  • Automatic Syncing: This process only works when meetings are booked via the Demodesk booking link. If you're manually booking a meeting using the scheduler, you’ll need to add the custom token to the email template. This allows you to manually select the token value when booking the meeting.

  • Hidden Booking Questions: By hiding the booking questions in the meeting type setup, customers won’t see the activity type options during booking. This keeps the process streamlined for them while ensuring the correct activity is logged.
