Access Recordings

Access Recordings

  1. Navigate to the Recordings section: here

  2. Click the "Watch" button on the right hand side (see screenshot).

  3. A separate tab with the recording opens.

Search Recordings via Filters

Below the search bar, you can refine your list of recordings using the filters:

  • Date/Time – Sort recordings chronologically

  • Meeting name – Sort by the title of the meeting

  • Host – Filter by the person who hosted the session

  • Feedback – Focus on meetings with specific scorecard ratings

Additional Options

You can also apply checkboxes to further tailor your view:

  • My meetings only – Shows only meetings where you were the host

  • Hide no-shows – Excludes meetings where participants didn’t attend

  • Bookmarks – Displays only the meetings you’ve bookmarked for quick access

Together, these tools make it easy to revisit, review, and learn from your past meetings — whether you’re following up on action items, coaching a teammate, or tracking engagement.

Search for Keywords

Use the search bar on the left side of the recording overview dashboard (here) to search for specific words or mentions within your recordings (see screenshot).

ℹ️ You can also search for keywords within recordings (see screenshot).


Give & Request Feedback

ℹ️ Admins can set up an automation for automatic feedback from the AI Coach, eliminating the need to give or request it manually as described below.

Functionality: If an automation is set up, the AI Coach automatically evaluates meetings based on the specified scorecard model deposited in the Demodesk Settings and generates feedback reflecting performance in key areas.

Users will receive an email notifcation after each automatically evaluated meeting.

Personal Manual Feedback

Fill out the scorecard completely manually:

  1. Access recording.

  2. Click button "Give feedback"

  3. Select appropriate scorecard

  4. Select team member

  5. Walk through scorecard step-by-step, rate performance with flames and add comments

  6. Click button "Submit Feedback"

  7. Selected team member will receive an email notification

Manually Requesting AI Coach Feedback

Let the scorecard be pre-filled by the AI Coach:

  1. Access recording.

  2. Click button "Give feedback"

  3. Select appropriate scorecard

  4. Select team member

  5. Click button " Pre-fill feedback with AI Coach"

  6. Wait for approx. 2-3 minutes

  7. Check & adjust answers of AI Coach if necessary

  8. Click button "Submit Feedback"

  9. Selected team member will receive an email notification


Make Comments & Share Moments

ℹ️ Contextual comments enable quick and effective coaching by allowing feedback within the conversation, and you can share a specific moment to direct attention to a precise point in time.

  1. Access Recording

  2. Open Transcript

  3. Click three dots right next to the transcript

  4. Click "Copy link to moment" to share link to this specific moment internally or externally (consider recording access settings)

  5. Click "Comment" to add a comment to that specific moment (include specific timestamp if necessary)

ℹ️ Additional Information:

  • Users with access to recordings can leave comments (except those with viewer licenses).

  • Admins can delete all comments, while users can only delete their own.

  • Only users with a Coaching and AI license can view the respective modules in a recording; all others only have access to the recording itself.


AI Assistant Chat & Summaries

ℹ️ The AI generates an initial AI summary based on predefined rules in Demodesk.

While you can request a revised version using a different template or custom input via the AI assistant chat within a recording, only the first matching AI summary is synced to the CRM and remains unchanged.

Request a new AI summary:

  1. Access Recording

  2. Click "AI Assistant"

  3. Click "Summaries" OR add your specific question (=prompt) into the AI chat

  4. Click "send" and wait until the AI re-analyzed the recording and provided a new AI output

🚀 Pro tip: you can also have the AI create a template for a follow-up email.


AI CRM Concierge

ℹ️ AI CRM Concierge helps you sync the right CRM data after each meeting. Based on meeting insights, Demodesk suggests the most relevant deal or opportunity and pre-fills CRM fields for review.

How to review & confirm CRM sync:

1. Go to your Recording

2. Go to the AI Assistant tab

3. Review the suggested deal/opportunity

4. Use the dropdown to change the deal if needed

5. Click Accept to confirm the sync

🚀 The deal update and insights will be pushed to your CRM once accepted.


Gain Deeper Insights (Beginner Best Practice Tips)

ℹ️ Ask the AI questions via the chat about the meeting to clarify points or ensure nothing was missed.

Exemplary Use Cases:

  1. Clarification of Discussion Points:

    • If you are unsure whether a specific topic was covered during the meeting, you can simply ask a question through our AI chat.

      • Example: "Was the marketing budget for Q3 discussed?". The AI will search through the transcript and provide you with the relevant sections where this topic was mentioned.

  2. Drafting Follow-up Emails:

    • After a meeting, it's often necessary to send a follow-up email to summarize the discussion and outline the next steps. Our AI can help you draft this email by using the transcript of your meeting as a reference. You can either use our template or ask the question as follows:

      • Example: "Can you draft a follow-up email summarizing today's discussion about the new product launch?". The AI will generate a draft email, capturing the key points that were discussed.

  3. Verification of Decisions and Actions:

    • It’s important to verify that decisions and action items are accurately captured during meetings. This ensures that you have a clear and accurate record of what was decided and what needs to be done moving forward.

      • Example: "What decisions were made regarding the project timeline?" or "What are the next steps we agreed on for the client proposal?"


Insights

ℹ️ Your personal insights page helps you track performance trends, feedback, and engagement across your meetings.

You can filter by scorecard, meeting type, audience, or timeframe to get a focused view of your metrics — all in one place
