Customize playbooks for customers without changing the original playbook

Our Playbooks provide a standardized structure for meetings with your customers, so you always have the right content at the beginning of each meeting. But we also understand that you want to add a personal touch to your meetings and presentations (without messing up the original Google Slides presentation).

Allowing to Duplicate in Google Drive solves this challenge. Furthermore, using tokens as part of Google duplication allows you to automatically customise your slides. This guarantees an outstanding customer experience while saving valuable time. This article walks you through the setup step by step.

Please be aware that this feature is only available for Business Licence users.

Use Token slugs to automatically customise your presentations

Token slugs can help you to automatically customize your presentations. Just add them to your Google Slide. When reloading your Playbook, the information will be inserted automatically from your CRM or from the answers of a booking question. If you are not yet sure of what tokens are, please first read this article.

How to use Tokens on your Google slides:

  1. Decide which information you want to have updated on your Gslides for each meeting

  2. Go on your tokens list on the Demodesk dashboard (custom or system Tokens work)

  3. Copy the respective token slug (second column after the token name)

  4. Paste the token slug on your Gslide and make sure to add two curly brackets and one space between the curly brackets and your slug like this: {{ slug }}

The Master deck (or also called parent slide) will always show the token slug. With Google duplication enabled (see further below), a copy will be created and these slugs will be replaced with the value stored in your CRM, on Demodesk or gathered by booking questions.

Important requirements:

  • You must have admin rights to access the tokens section

  • The Gslides need to be preloaded in the Playbook before scheduling the meeting

  • The format {{ slug }} must be adhered to at all times

  • If there is no value available for the respective slug, the space will remain empty on the duplicated slides

Duplicate presentations from Google Slides

This is how it works:

  1. Ensure your Google Drive is connected to your Demodesk profile (Settings > Integrations > Connections > Google Drive)

  2. Either create a new Playbook or upload the (parent) Google slide(s) in an existing Playbook on Demodesk

  3. In the Playbook, go on a slide > click on Manage presentation > toggle on Duplicate in Google Drive

  4. Ensure you have the right permissions enabled on your Google Drive (more on this further below)

That is it. The Playbook can now be used. Tokens included on the slides will automatically be updated. Users will still be able to manually customize the Playbook as desired before each meeting.

As usual, the Playbook can be edited in Google itself. Remember clicking Reload from Google if you make any changes to the parent slide.

You can now test the Google duplication: Set up a Test meeting with this Playbook and see how the tokens are automatically customized (make sure to use a dummy account on your CRM if you included Account/Contact associated tokens on the slides).

Please note, the demo host user must be connected to:

  1. Google in Demodesk

  2. Google Drive in Demodesk

You can make sure you are connected in your settings.

Please carefully review the Google workspace permissions required for Google Duplication below.

Required Google Drive permissions

The Google account of the demo host user must have permission to:

  1. Copy the Google Slides parent presentation

  2. Read the shared drive to which the Google Slides master presentation file belongs

  3. Add new files in the folder in which the Google Slides master presentation file is located (see Folder A in diagram below)

The parent Gslide can have restricted permissions (at least read permissions) - so that team members do not accidentally edit it - while the duplicates can live in a folder with more relaxed access, e.g. anyone within the organisation can edit. When using Google duplication for the first time, you can edit the permissions of the duplicates by:

  1. Scheduling a meeting on Demodesk with the intended Playbook

  2. Go to your Dashboard > find your meeting > click 'Prepare' > click Reload from Google

  3. Go to your Google Drive > click on the folder with the duplicate > click Manage Access

Upon the first duplication, Demodesk will automatically create a folder for the duplicates where all future duplicates will be stored. This will be within the folder of the parent slide. The name of the duplicated slides will include the date and timestamp of the meeting in addition to the name of the parent slides:

This means:

  1. Initially only the Gslide master presentation file exists

  2. When a duplication happens, we check if this file has a sibling folder with the same name:

    1. If not, we create it and place the duplicate inside of it

    2. If it already exists, we just place the duplicate inside of it

As a result, it will look like this:

Please note: for a smooth user and customer experience, we recommend to set the permissions to everyone with the link - editor.

If you restrict the permissions, the Demodesk user will always be asked to login to Google before being able to access the slides. If this is the case, we recommend to open the meeting and login before the guests join. This will be the result:

You can then customize the presentation for your prospect or customer in Google Drive without editing the parent playbook.

Make sure to always Reload from Google before or when starting the meeting to get the latest version of the playbook.

When is a duplication triggered?

We always provide automated duplications, to make sure everything is set for your meeting. Meaning, the duplication is not only triggered manually when you edit the playbook, but also:

  1. When you choose the Playbook at the beginning to create the appointment

  2. When you start the meeting

  3. 24 hours before the meeting starts


Troubleshooting

Q: My master deck is being edited, but the slide is not duplicated. What could be causing this issue?

Answer

This issue is likely caused if you or one or more individuals using the playbook do not have your Google Drive connected to Demodesk. You can check this in the Demodesk teammates' settings or in your personal connections page, as shown below:
