Creating and Selecting Custom Personas
To create or select a persona, follow these steps:
Go to the Summaries Library under the Coaching & AI tab.
Click on New Summary to begin the process.
In the Select a Persona window, you can choose a predefined persona like Summary L. Jackson or Mail-er Swift. If none of the predefined personas fit your needs, select the Custom Persona option.
In the Custom Prompt section, you can define the specific criteria and focus areas you want the AI to include in your summary.
Save the changes, and the custom persona will be available for future summaries.
Including context from past meetings
By default, AI Summaries focus on the current meeting. If you want the summary to also reference relevant context from previous calls with the same customer, you need to explicitly request that in your summary prompt.

You can also ask questions based on the meeting conversation. This can be incredibly helpful for clarifying any points discussed or ensuring you have not missed any critical information.

For example, you could input, "Was the marketing budget for Q3 discussed?" and the tool will search the transcript and provide you with the relevant sections where this topic was mentioned.
Drafting Follow-up Emails:
After a meeting, it's often necessary to send a follow-up email to summarize the discussion and outline the next steps. Our tool can help you draft this email by using the transcript of your meeting as a reference. Simply ask, "Can you draft a follow-up email summarizing today's discussion about the new product launch?" and the tool will generate a draft email, capturing the key points that were discussed.
Verification of Decisions and Actions:
It’s important to verify that decisions and action items are accurately captured during meetings. You can use our tool to ask, "What decisions were made regarding the project timeline?" or "What are the next steps we agreed on for the client proposal?" This ensures that you have a clear and accurate record of what was decided and what needs to be done moving forward.
Translate a summary
You can translate the summary anytime by accessing a recording, clicking on the "Translate" icon, and choosing a translation that suits your needs. The original language will be preserved.
Notification
The Meeting recap helps you stay on top of important insights and take prompt actions. You will receive an email with the meeting recording and summary as soon as it is created so you can quickly review the key points discussed during the meeting. This ensures that you never miss any important details, and you can always make informed decisions that will help you close more deals and achieve your sales targets.
By default, every participant in the meeting will receive a meeting recap. You can decide who receives the meeting recap. Learn more about how to change it here.
One more benefit is that you can search through all the meeting recaps in your email client with ease. This feature alone can save you hours that you would otherwise spend sifting through countless emails.

AI Automations
AI automation empowers complete workflow control for sales leaders. Create purpose-fit meeting summaries for impeccable outcomes and uncover insights automatically. Remove the guesswork on what's happening in your customer conversations. The first matched rule will be used for the summary. You'll need to structure your rule set from very specific to least specific. You can also define a fallback summary for cases without matching rules.

This feature allows you to select specific summaries or scorecards based on the AI-determined meeting category and context, ensuring that the appropriate content is applied without manual configuration.
How It Works:
AI Meeting Context: The AI evaluates the meeting using the transcript, meeting signals, and available CRM context to understand what the meeting is about. Based on this context, you can create automation rules that apply the correct summary, template, or scorecard for each meeting scenario, such as first meetings, introductory calls, or qualification conversations.
AI Meeting Categorization: The AI automatically classifies meetings into categories such as "Demo," "Discovery," or "Prospecting/Cold Call." Based on these categories, you can set up automations that apply the correct summary for each meeting type.
Who Benefits: This feature is particularly useful for companies that do not have standardized meeting types or names, as it automates the categorization process, reducing the need for explicit configuration.
To use this feature, simply add the "AI Meeting Category" or "AI Meeting Context" as a condition in your automation settings and select the appropriate summary for each category.
Custom summaries
Are you tired of repeatedly inputting the same prompt into the AI Assistant? If so, it's time to create a personalized summary. Admins can create custom summaries within the automations tab, which users can select in the AI Assistant. This functionality is particularly useful for streamlining access to custom follow-up email templates.
Note: Default summaries provided by Demodesk cannot be opened, edited, or removed, as they are based on millions of sales conversations and industry best practices.
Create your own summary
You can also create your custom prompt to help you with your use case. Here are some tips:
Define the specific persona or role the AI assistant will assume, such as a sales coach or a summarization tool.
Clearly state the type of input you are providing to the AI assistant (e.g., a meeting transcript).
Use delimiters like brackets, slashes or quotation marks to indicate separate parts of the prompts when needed.
Specify the output format to follow for more consistent answers.
Provide concise, straightforward instructions for the AI assistant to follow. Break down complex tasks in sub-tasks for the AI assistant to tackle sequentially. Be consistent with terminology throughout the prompt

Act as an expert in <industry name>, specifically with knowledge tailored to <companay name> business operations.
Analyze the provided meeting transcript and extract all critical information in a highly detailed and structured manner.
Organize the output into the following sections:
1. Aim of the Meeting: Summarize the primary objectives discussed during the meeting.

Ensure that the tone remains technical, focusing on providing bullet points under each section with the specifics that are relevant and actionable.
Set the language for summaries
You can set the language for summaries in the settings under "AI Automations". This will change the language for summaries in the email the person running the meeting gets and on the recording. It usually matches the language set in the user's profile so the person in charge can easily understand it. If you want the summary in your company's language, you can change it there. This choice also affects the language of summaries sent to your CRM.
CRM Sync
The AI Meeting Summary is synced using a system token called "Meeting AI Summary." By default, it is appended to the meeting description, ensuring that every meeting summary is automatically sent to your CRM.
If you’d like to sync the AI Meeting Summary to a different field, you can map this token to any field on Contacts, Deals, or Companies in your CRM simply by adding another connection.
You can disable that behavior by turning it off in your integration settings under connections. You need admin permissions to do that.

Share a moment and comment on a transcript
Open a recording and navigate to the "AI Assistant" > "Transcript"
You can directly comment on important moments in the transcript by clicking the right menu with "...".
Then, you have the options
"Copy link to moment": This will generate a text with a link that you can share in other places, such as Slack. Every user that clicks on it will be redirected to that specific moment.
"Comment": This will switch to the Comment section so that you can add a comment for that specific moment.
Search all transcripts
You can use the keyword search feature in Demodesk to search through all your transcripts for interesting moments. This feature provides context around each keyword, giving you a quick understanding of what the discussion was about, who set it, and at what timestamp. You can click on each sentence to go directly to that moment. However, please note that, to conduct a keyword search, you must use at least 3 characters.
In the context of sales coaching, this feature is particularly valuable. It allows you to review your sales calls and meetings and identify key moments where your team excels or struggles. By searching for keywords like "price" you can quickly find moments where your team performs well or could use improvement. This enables you to provide targeted feedback to your team members and help them improve their skills and close more deals. Overall, the keyword search feature is an incredibly helpful tool for sales coaches looking to improve their team's performance.

Improve transcripts
For even more precise transcriptions, we suggest adding company-specific, product-specific, and industry-specific terms to the custom vocabulary. This will ensure that your recordings have all the necessary context and are accurately transcribed mirroring the language of your business. The custom vocabulary has a limit of 120 characters.
Examples include company names like AT&T or abbreviations like GDPR.
Transcription and Meeting Duration Threshold
To ensure accuracy and effectiveness, we've established some guidelines regarding the duration of meetings we transcribe.
Our standard practice is not to transcribe meetings that are less than 2 minutes in duration. However, we understand that preferences may vary, so users have the option to adjust this setting here according to their needs. Additionally, meetings with less than 200 words will also not be transcribed.
The reason to implement this lies in our goal is to deliver impeccable transcriptions, summaries, and AI features that truly capture the essence of your conversations. By maintaining these standards, we guarantee that our transcription and AI processes are optimized for meaningful discussions.

We use Microsoft Azure OpenAI for our AI services. It ensures robust data privacy and security. Your data, including prompts and outputs, remains private and is not shared with other customers or used for model improvement. Any data sent to OpenAI will be retained for abuse and misuse monitoring purposes for a maximum of 30 days, after which it will be deleted.
