How to best use System Tokens for reporting

Connect System Tokens to improve your meeting analyses through your CRM (HubSpot, Salesforce). This helps you to keep track of your scheduled meetings and create valuable reports that help you to enhance your revenue process!

1.Use cases of the reporting

Reports can be used in many different ways, as you cannot only track meeting data but also enhance them with meeting information. Take a look at these examples:

  • How often was the meeting rescheduled

    • was it rescheduled by the host or guest

  • How likely will the deal be closed when a meeting was scheduled for X times

  • How long was the actual duration of the meeting, compared to the scheduled one

2. How to set everything up

First, you need to make sure that your CRM is connected correctly, check your connection here.

Now if you schedule new meetings in your CRM, you can easily connect these System Tokens

Reminder: You cannot only connect System but also Custom Tokens with Salesforce and HubSpot!

Best practice connections of System Tokens

1. Meeting Type Name:

helps you to create reportings based on specific Meeting Types

2. Meeting duration:

tracks the actual meeting duration instead of the planned one

3. Demo reschedule count

counts how often a meeting was rescheduled

4. Meeting notes

to be synched to CRM

5. Recording link

allows to directly save the recording link on the meeting in CRM

6. Meeting status

tracks the status of the meeting: Scheduled, In progress, No show, Held, or Canceled

7. Meeting location

Use this token if you're using Teams or GMeet integration, as the meeting link token will reflect a Demodesk link instead

3. Things you need to consider

When you are working with HubSpot as your CRM, please take note of the following:

Newly created meeting objects do not allow you to add custom properties!
