Demodesk Notetaker (Integration with other Conferencing Tools)

Process & Functionality

  • Automatically joins both external and internal meetings when the relevant toggles are enabled.

  • Searches for scheduled meetings in your Google or Outlook calendar.

  • Imports meetings into the Demodesk meeting overview.

  • Displays all meetings, regardless of whether they will be held via Demodesk, within the Demodesk meeting dashboard.

  • When the "Record external meetings" and "Record internal meetings" options are enabled:

    • the notetaker imports and records meetings accordingly.

    • external meetings are defined as those with at least one participant outside of your specified domains.

    • internal meetings include all participants from the specified domains.

  • The notetaker checks the domains of meeting participants to differentiate between external and internal meetings.

ℹ️ The notetaker can always be added manually to meetings (how-to here).

Configuring Demodesk NoteTaker to Join the Lobby

You can configure the Demodesk NoteTaker to join the lobby or waiting room instead of entering meetings directly on platforms like Google Meet, Microsoft Teams, and Zoom. This setting allows you to control when the NoteTaker joins, enhancing privacy and timing for recordings. Each platform has specific steps for enabling this feature. 2. CRM Sync

In this section, we focus on how to sync to your CRM to automatically update your records post-meetings to enhance documentation accuracy and data quality.

Automatic AI Summary Sync

AI summary Sync feature:

  • Captures key points from meetings.

  • Integrates insights directly into your CRM.

  • Default sync setting:

    • Set your preferred CRM (e.g., Hubspot) as the default destination for AI-generated summaries.

    • A system token is created by default to sync AI summaries to your preferred CRM. You can find the settings of the default connection here.

    • To set up a new connection here by using custom tokens and specifying the field for syncing AI notes.

Get automatic AI Coach Feedback

Manage and set up your AI Coach Automations here.

  1. Click on "+ Add automation" to create a new rule.

  2. Select one or more conditions for this rule.

  3. Select a scorecard as the evaluation basis for this rule.

  4. Click on "Save and close".

ℹ️ After a meeting, the AI Coach evaluates it with the scorecard model

and generates feedback on key performance areas.

The host will receive an email with the feedback.

Get Automatic AI Summaries

Manage and set up your AI Summaries here.

  1. Click on "+ Add automation" to create a new rule.

  2. Select one or more conditions for this rule.

  3. Select an AI summary for this rule.

  4. Click on "Save and close".

ℹ️ Only the first AI-generated summary is automatically synced with your CRM. Subsequent changes made through the AI Chat will not be synced.
