Booking links allow your customers to pick a date and time in your calendar to schedule a meeting with you or your team

This article provides more detail regarding the process of creating a booking link, empowering customers to independently select a suitable time for their upcoming meeting, eliminating the back and forth of email exchanges.

In general, booking links will lead to your custom booking page, which can be customised according to your whitelabel, as shown by the image below. Auto-generate your booking link

To use this feature, use our wizard to auto-generate the custom booking link.

You can quickly create booking links when you are at the Meeting Types page.

Create a booking link for the Meeting Type

By setting up booking links in a way that pre-selects the appropriate meeting type, you can enhance internal efficiency while keeping customers engaged throughout the process.

1. Check your Meeting Types

Navigate to Meeting Types and choose the one you want to use for the booking link. You can also create New Meeting (for your Team or Personal).

Make sure, to scroll down and activate the scheduling page section for your Meeting Type to enable booking via the link.

If you're creating a Team Meeting, you will also need to add your team members and adjust the distribution of the meetings. Go to the scheduling section and use the round robin if your capacities are different. For a more detailed guide about this algorithm check out this article.

By adjusting the start time increments, you can specify if the slots on your scheduling page should start every 15, 20, 30, 45, or 60 minutes as shown below. The smaller the increments, the more available slots will exist, therefore the customer will have more flexibility to decide when to meet with you.

The shown time slots can also be restricted by your own preferences, to do so, go to the availability section in your Meeting types settings.

2. Create the booking questions

The next step is to then create, rearrange and delete any booking question from the edit meeting type page as shown below. The only minimum requirement is to ask for Email and Name to make sure the invitations can be delivered.

Each field can represent a distinct type of information; however, it is essential to ensure that the description aligns with the token you are using. You can even use custom Tokens to get even more information from your customer, please view our guide here:

After you are done, simply click Save to set it live. You will be immediately able to use the link displayed in Demodesk.

This booking link can also easily be added to your website. Go to your Meeting Type > Scheduling Page section and click on add scheduling link on website. Just follow the instructions. for the web snippet integration.

⚑Pro Tip: Use secured https link instead of a http link for added security

The iFrame container width should be >= 577px to have the desktop view- any smaller would have it displayed as mobile view.

Create booking links with preselected time frames

If you only want to show time slots during a certain time period (because there is e.g. a trade fair or event), you can add URL parameters that contain the time period to your booking link.

Here is an example: For this booking link https://demodesk.com/book/marco-nogueira/demodesk-demo?from=2022-10-02&to=2022-10-07 people can only book a slot with Marco from Sept 2 to Oct 7, 2022.

It always follows this format: ?from=yyyy-mm-dd&to=yyyy-mm-dd. You just need to put in the desired year, months, and days and attach that part at the end of your booking link. The available time slots will then be displayed accordingly.

Prefilled booking questions

You can prefill booking questions by using URL parameters in the booking link. Each booking question is linked to a token, and by adding the token slug and desired value to the URL, you can prefill answers. Multiple questions can be prefilled by separating them with an "&." Display your booking links in another language

Your booking links will usually be displayed in the language of the visitor's browser. If you want to manually override the browser language to show the booking link in other languages, adjust your link by adding the language code (see below for supported languages) behind www.demodesk.com or by adding a query parameter at the end.

German version – option 1:
​https://demodesk.com/de/book/demodesk-gmbh/meeting

German version – option 2:
​https://demodesk.com/book/demodesk-gmbh/meeting?lang=de

In your added link, replace the "+r+" with the language code just like above or add the query parameter &lang=COUNTRYCODE to the link.

Below are the supported languages along with their abbreviations, highlighted in bold. These should be incorporated into the booking link, as demonstrated in either option 1 or option 2 above.

Dutch: nl
