This guide has been designed to offer you a comprehensive checklist for your first steps with Demodesk after receiving an invitation from your team. We've included a diverse array of resources, including help center articles, product tours, and videos, all aimed at guiding you through the process. βš™οΈ Setup your Demodesk Account

While It might not be too exciting, but a proper setup is a key step for a successful Demodesk experience. Therefore, it's crucial to ensure the completion of the initial four setup tasks before proceeding with your first Demos.

Step 1: Connect your Google/Outlook account

The initial step entails linking your email account, which enables synchronization of your calendar, email invitations, and various other functions.

You can schedule meetings, send out calendar invites, and email invites from Demodesk. In order to ensure everything works as intended, connect your account

Step 2: Connect your CRM

The subsequent step is to establish a connection to your CRM in order to monitor your meetings an keep a record of your meetings effectively. Important: If you do not work with Salesforce, Pipedrive, or HubSpot, or if your team does not yet work with the Integration, skip this task.

With our CRM integrations, you can make sure that your CRM is always up to date and that your customer interactions are logged.

Step 3: Update your profile

The final configuration stage entails creating your account profile, which is visible when customers schedule a meeting with you.

The profile information is used in the emails and calendar invites send from Demodesk (especially in the email signature). Moreover, we recommend uploading a profile picture. This will show up if the customer schedules a call and enters a meeting.

Step 4: Check your Playbook & Meeting Type default setup

ℹ️ What's a Playbook? A Playbook is a ready-made structure for your meetings that is prepared once and can be used as a template for all Demodesk meetings. This makes meetings consistent and repeatable since and your team are able to use shared templates.

ℹ️ What's a Meeting type? Meeting Types are templates for the different kinds of Meetings you are hosting. The Meeting type is connected to a playbook, a standardized calendar invitation, a standardized email invitation, reminder emails, and a booking link (a link that allows the customer to book a call on your calendar).

Whenever you start an instant meeting the default Meeting type and default playbook is used. Also if you schedule a meeting in Demodesk the default Meeting type is selected by default.

There are several ways to schedule a Demodesk Meeting. Within this section, we will outline the three most common ways to do so. You will learn in which case the one or the other way of scheduling makes sense.

⚠️ Precondition: In order to schedule Meetings via Demodesk you need to connect your Google/Outlook account (see section 1, task 1)

Option 1: Schedule a meeting via Demodesk

πŸŽ‰ You're ready to roll! You can now schedule your first meeting using Demodesk. The first approach available is using the Demodesk Scheduler.

You want to schedule a Demo with a customer while talking to him on the phone or texting with him via mail? The scheduling functionality in Demodesk is powerful. It is the perfect place for SDRs to book Demos for Account Executives.

If you use HubSpot or Salesforce as a CRM you can directly schedule out of the CRM:

Option 2: Schedule a meeting via a Demodesk booking link

Alternatively, you can schedule your meeting by sending a Demodesk booking link to your prospect.

You are exhausted from the back and forth needed to schedule an appointment with a customer or prospect? Booking links allow your customers and prospects to pick a date and time in your calendar and schedule a meeting with you or your team.

Option 3: Schedule a Demodesk meeting via Google calendar

Lastly, with the Chrome extension downloaded, you can seamlessly schedule a meeting directly from your Google Calendar within Demodesk.

You want to schedule a recurring appointment or structure your day via Google calendar? Our Chrome Extension allows you to schedule one-time or recurring Demodesk meetings directly in the Google calendar.

Within meetings, you can master your meeting while having all the needed content at hand, being able to collaborate with your prospect or customer, and receiving guided by speaker notes or battlecards.

After the meeting, you can either copy your meeting notes or directly sync them to your CRM.

In case you are using Salesforce, HubSpot, or Pipedrive and have connected your CRM (see section 1) your notes are directly stored there. Depending on your Setup you can find the notes in the Meeting Description (possible with Salesforce, HubSpot, Pipedrive) or in a note attached to the Meeting (possible with Salesforce).
